Administrative Assistant Job Description

Position Summary
Works with management preparing various reports, arranging travel, planning meetings, managing multiple projects with deadlines and maintains both professionalism and confidentiality.

Essential Job Responsibilities
Daily – welcoming of visitors and insuring their experience is one of courtesy and professionalism
Daily – Distribution of inbound mail and UPS
Daily – Preparing of outbound mail and UPS
Coordination of business travel (Air,Train,Hotel,Car ect.) Negotiation of corporate rates
Coordination/Planning/Negotiation of Corporate Meetings and events (including travel as necessary)
Copying, Scanning, Filing in an organized fashion
Collect/maintain compliance of documents related to internal Quality Control Program
Assisting in development and production of internal marketing material and periodic review/updates
Selection, Ordering and Distribution of promotional material
Preparing Monthly and Quarterly Reports
Preparing correspondence and announcements as needed
Preparing of specific reports and projects as requested by management

Required Skills
Motivated Self-Starter with the ability to work alone
Strong computer literacy skills
Professional verbal and written communication skills.
Strong MS Word/Excel/Publisher/Photo Shop skills
Ability to Multi-task
Strong proof reading skills
Ability to meet deadlines on time
Attention to detail

Minimum high school diploma

Working Conditions
Normal office environment. This position is Hourly, Non-exempt and Full Time
